Where Online Reputation Management Ends and Suppression BeginsWhere Online Reputation Management Ends and Suppression Begins

TL;DR

Online reputation management is the practice of monitoring and influencing what appears about a brand or a person in search results, reviews and social conversation. It is not public relations, which pitches stories to publishers, and it is not brand monitoring, which collects the mentions that reputation work responds to. The disreputable end of the field runs on fake reviews, bogus DMCA takedowns and paid removal schemes, and fake reviews are banned outright by an FTC rule in the United States and by the Digital Markets, Competition and Consumers Act 2024 in the United Kingdom.

What is online reputation management?

The practice of online reputation management is monitoring and influencing what appears about a brand or a person in search results, reviews and social conversation. Three surfaces carry almost all of it: the pages that rank for the brand name, the ratings and written reviews on the platforms buyers check before a purchase, and the unprompted mentions on Reddit, X, Bluesky, Facebook and Hacker News. Reputation work is a response discipline, so it starts with reading what is already published and ends with a reply, a corrected page, a public commitment, or a product change that removes the complaint at its source.

The term covers legitimate work and a fringe that trades on the same name. Three boundaries settle which is which.

BoundaryWhat the other thing doesWhat online reputation management does
Public relationsPitches stories to journalists, editors and analysts; the output is a placementAnswers content that is already published; the output is a reply, a correction, or a page that ranks
Brand monitoringCollects keyword matches across platforms; the output is a queue of alertsDecides what each mention in that queue deserves and acts on it; the output is a response
Suppression tacticsRemoves or buries content through fraud, purchase or legal threatAdds accurate content and answers criticism where the criticism was made

How is online reputation management different from public relations?

Public relations works through gatekeepers, and online reputation management works on the open record. A PR team pitches a story, negotiates an angle, and counts a published article as the deliverable. A reputation team reads a one star review, a Hacker News thread and an AI Overview that gets a fact wrong, then writes the reply, the review response and the corrected page. PR is upstream of publication and reputation work is downstream of it.

The two meet during an incident, when the same statement goes to a reporter and into the thread where customers are asking about the outage. They diverge everywhere else, because most reputation work is small, repeated and unbriefed. If a crisis is what you are staffing for, build the crisis workflow first.

Is online reputation management the same as brand monitoring?

Brand monitoring is the input, and online reputation management is the response. Monitoring watches a set of keywords across platforms and delivers matches as alerts on an interval. Reputation management picks up at the alert: triage it, decide whether the mention needs a reply, a correction, an escalation, or nothing, then close it. A team with monitoring and no response process has a queue that grows until people stop opening it.

The setup half is a separate job, so this page does not repeat it. The brand monitoring workflow from alert to response covers what to track and when a mention escalates, and the practical guide to monitoring brand mentions covers query construction and alert intervals. RedReplier sits on the monitoring side of that line: it watches Reddit, X, Bluesky, Facebook and Hacker News together, ranks what it finds by buying intent, and explains why each mention was flagged, which is what keeps the reputation management use case workable without a person reading every thread.

From alert to close
1
Alert. Monitoring flags a mention that matches the brand's tracked keywords.
2
Triage. Decide whether the mention needs a reply, a correction, an escalation, or nothing.
3
Act. Reply, correct the page, or escalate to legal, engineering, or the founder.
4
Close. Log the outcome so the queue does not grow unread.
Brand monitoring delivers the alert, and online reputation management takes over at triage.

Which reputation tactics cross the line?

Three tactics sit outside legitimate practice, and vendors selling all three call the work reputation management. Fake reviews are reviews written by people with no experience of the product, bought in bulk, generated by a model, or posted by employees who hide the connection. Bogus DMCA notices are copyright complaints filed against criticism the complainant holds no copyright in, used to get a page delisted from search. Paid removal schemes are vendors who take a fee to make a page or a review disappear, and who deliver by filing those false complaints, by burying the page under thin content, or by taking the money and reporting failure.

Each carries a second cost past the legal one. A removal attempt is a story in a way the original complaint was not, the pattern the Streisand effect names. Manufactured praise runs the same risk: once one coordinated account is traced back to a brand, every favorable review from that period reads as suspect, and astroturfing is how platforms classify it before they ban the accounts.

Are fake reviews illegal?

Fake reviews are illegal in the United States and in the United Kingdom. The Federal Trade Commission announced a final rule on August 14, 2024, 16 CFR Part 465, the Trade Regulation Rule on the Use of Consumer Reviews and Testimonials, effective 60 days after publication in the Federal Register. The FTC states that the rule lets it seek civil penalties against knowing violators, and names no dollar figure.

The FTC rule prohibits six categories: creating, selling or buying reviews that misrepresent their origin, including reviews generated by AI; compensation conditioned on expressing a particular sentiment; insider reviews from officers, managers or employees with no disclosed connection; company controlled websites presented as independent review sites; suppressing negative reviews through unfounded legal threats, physical intimidation or false accusations; and buying or selling fake followers, views or engagement where the buyer knew they were fake. The fifth category is worth reading twice, because it puts the bogus takedown notice inside the same rule as the fake review.

In the United Kingdom, Schedule 20 of the Digital Markets, Competition and Consumers Act 2024 lists as a banned practice "Submitting, or commissioning another person to submit or write a fake consumer review, or a consumer review that conceals the fact it has been incentivised," and defines a fake consumer review as one "that purports to be, but is not, based on a person's genuine experience."

How do you measure online reputation management?

Measure the share of mentions that read as negative, and watch the trend instead of the single figure.

Negative mention share = negative mentions / total mentions in the period

A brand logs 240 mentions across Reddit, X and Hacker News in a month, and 36 of them read as negative. 36 / 240 = 0.15, so negative mention share is 15 percent. On its own the number says nothing. Against last month's 9 percent it says a specific complaint is spreading, and the mentions behind the increase name it.

The hard part is the classification, not the arithmetic. Sarcasm, comparison threads and mixed reviews all break automated scoring, which is why sentiment analysis is a filter for sorting a queue, not a metric to report to a board. Pair the share with share of voice so a quiet month with three complaints does not read as worse than a loud month with twelve.

A person asks a question into a smartphone, showing how buyers now get answers from AI assistants instead of a list of search results.

Where does AI search fit into online reputation management?

Assistants are a reputation surface, because a buyer who asks ChatGPT, Claude or Gemini about a category reads a synthesized answer instead of a page of links. That answer draws on forum threads, reviews and comparison pages, so an unanswered Reddit complaint reaches people who never open Reddit. Tracking the surface means watching which brands the assistants cite and on which questions, which is what LLM brand monitoring for AI search does inside RedReplier. You cannot correct an assistant, and you can correct the thread it read.

Frequently Asked Questions

What is the difference between online reputation management and SEO?

SEO ranks your own pages for commercial queries, and reputation management works on everything that ranks for your brand name, including pages you do not control. The two share tactics, since publishing a strong page is how you occupy a brand name result. They part company when SEO techniques get pointed at burying a critical page instead of earning a position, which is the suppression end of the field.

Can a brand get a negative review removed?

A platform will remove a review that breaks its own policy, such as one with personal attacks, off topic content, or a review left by a competitor. A platform will not remove a review because the business disagrees with it. Report the violation through the platform's process, and answer the rest in public.

The FTC rule bans compensation conditioned on expressing a particular sentiment, positive or negative. Offering something of value without conditioning it on the rating is a different arrangement, and the material connection has to be disclosed. Read the rule before designing a review program, since the disclosure requirement covers employee reviews too.

Does replying to negative mentions make them more visible?

A reply adds engagement to a thread, and engagement affects ranking on most platforms. Weigh that against the reader who finds the thread later, sees a complaint and no answer, and takes the silence as confirmation. The threads worth answering are the ones with reach, an unanswered factual error, or a question a future buyer will ask.

Who should own online reputation management on a small team?

One named person owns the queue, and the specialists own the responses. That owner is the person who already reads the support inbox, since they recognize a recurring product complaint faster than anyone in marketing. Escalation paths to legal, engineering and the founder matter more than headcount.

How do you tell a legitimate reputation vendor from a removal scam?

Ask what they will do on a page they cannot get removed. A legitimate vendor answers with content, replies and corrections. A scam answers with a guarantee of deletion, declines to explain the mechanism, and prices per removed item.

What is astroturfing in online reputation management?

Astroturfing is manufactured praise designed to look like independent opinion, coordinated reviews, posts or comments that trace back to a single source. Platforms treat it as a pattern: once one coordinated account is linked to a brand, every favorable review from that period reads as suspect, and platforms ban the accounts once they classify it that way.

What is the Streisand effect in reputation management?

The Streisand effect describes what happens when an attempt to remove or bury content draws more attention than the original post ever had. A takedown request or suppression attempt becomes its own story, in a way the original complaint never was. It applies to bogus DMCA notices and paid removal schemes alike, since both risk turning a small complaint into a bigger one.

Does online reputation management include crisis communications?

Online reputation management and crisis communications overlap only during an incident, when the same statement goes to a reporter and into the thread where customers are asking about an outage. Outside of an incident the two diverge, since most reputation work is small, repeated and unbriefed rather than a single coordinated response. A team staffing specifically for crises needs a dedicated crisis workflow instead of relying on day to day reputation management.

What is a bogus DMCA takedown?

A bogus DMCA takedown is a copyright complaint filed against criticism the complainant holds no copyright in, used to get a page delisted from search rather than to protect actual copyrighted work. It is one of the tactics that crosses the line from reputation management into suppression. The FTC rule's ban on suppressing negative reviews through unfounded legal threats covers this same pattern.
